Resort Management Software

Resort Manager runs the whole property — reservations, front desk, housekeeping, guest relations, billing and point of sale — in one system rather than four that have to be reconciled.

It comes in two editions, and you add only the interfaces you actually need.

Who it is for

Independent hotels, resorts and villa operations, from a guesthouse or hostel to a resort with a mixed inventory of rooms, bungalows and villas.

Mixed and non-standard unit types are the normal case here rather than a special one, which is what villa operations, beach resorts, homestays and serviced apartments usually need and rarely get from software written for four-hundred-room city hotels.

If you sell more than rooms — a restaurant, a bar, a spa, a dive centre, activities — that revenue reaches the guest folio through the built-in point of sale, rather than sitting in a separate till to be reconciled later. For a resort that is often half the business.

A large resort hotel, the size of property the full edition is built for

Resort Manager

The complete system, with every module for the front and the back of house.

Front of house
front desk, reservations, housekeeping, guest relations, point of sales.
Back office
reporting, finance, accounting and inventory control, with double-entry accounting and multi-currency handling for any tax regime.
Runs multi-currency, multi-lingual and multi-user
so data is entered once and used everywhere.

The full feature list sets out what each module does.

Pool villas at a small resort, the size of property Lite is built for

Resort Manager Lite

Engineered for properties that need less, rather than the full system with things switched off.

Includes
front desk, reservations, housekeeping, guest relations, point of sales and reporting.
Does not include
the back office — finance, accounting and inventory control — nor two Point of Sales features: product recipes and the End of Day Wizard.
Takes all nine add-ons
exactly as the full edition does.

If you are not sure which fits, that is a normal place to start and a short conversation settles it. Ask us.

The add-ons

Both editions take the same nine interfaces, and you choose from them rather than paying for a bundle:

Channel manager
availability, rates and bookings kept in step across every channel you sell through.
Telephone (PBX)
call billing posted to the guest folio automatically, and room status driven by phone usage.
Electronic door locks
key cards encoded at check-in and deactivated at check-out, without anyone remembering to cancel them.
CRM
guest preferences, history and stay records shared with your customer relationship system.
Guest internet
Wi-Fi issued and withdrawn with the stay, tied to the guest record.
Secure remote access
check availability, take a booking or answer a question from anywhere with a connection.
Currency exchange rates
rates delivered into the system daily rather than typed in when someone remembers.
Housekeeping mobile app
room status updated from the housekeeper's phone, so reception stops ringing to ask.
Point of sales mobile app
orders taken tableside or at the pool, straight into the guest folio.

Some require additional hardware, and we will tell you which apply to your property before you commit to anything. What each one does.

How your rooms get sold

Resort Manager connects to your online distribution through a channel manager — primarily SiteMinder — rather than integrating with each online travel agent separately.

One connection to understand instead of a dozen, and the channel manager account stays yours. It is a genuine difference in approach from what several competitors advertise, so it is worth understanding before you compare: how distribution works, and the trade-off.

What you get around the software

Support
24/7 on key operational systems; requests and general help during Bali office hours, UTC+8 — the same working day as Indonesia, an hour ahead of Thailand. A 12-month guarantee, unlimited issue reporting, and repair or replacement of hardware we supplied. What support means here.
Getting it running
installation, configuration, data migration and training, included with any modular package. We can supply and match the hardware too, so compatibility stops being your problem.
People who built it
the person who answers understands the software because they wrote it.

The reason to take that seriously

Some properties have been running Resort Manager for more than sixteen years, and are still running it today.

Much of what you will be shown when you shortlist is younger than that. Changing property management system is disruptive and expensive, and nobody stays on one for sixteen years unless leaving keeps looking like the worse option — which is a better guide to what a system is like to live with than any feature comparison.

Two customers have said so publicly: Code Hotel on Koh Samui, who left one of the three largest systems, and Maekok River Village, who left a good one that had become expensive to keep.

See whether it fits

Tell us about your property — how many units, what mix, which channels you sell through, and what you are running now — or request a quotation and we will price it for what you actually need.

Common questions

What is the difference between Resort Manager and Resort Manager Lite?

Lite is engineered for properties that need minimal functionality. It covers front desk, reservations, housekeeping, guest relations, point of sales and reporting. The full system adds the rest of the front- and back-of-house modules, including finance, accounting and inventory control. Both take the same add-ons.

Which add-ons are available?

Channel manager interface, PBX (telephone) interface, lock and key interface, remote access, CRM interface, guest internet access, exchange rates API, and mobile apps for housekeeping and point of sales. See what each one does.

Do the add-ons need extra hardware?

Some do. The add-on lists are marked some may require additional hardware, and which ones apply depends on what you already have. We supply and match hardware as part of the same conversation rather than leaving you to discover it afterwards.
